What personal data we collect and why we collect it

Our mailing list

To sign up to our email mailing list, you only need to supply your email address. You can optionally supply your first name and last name at the point of sign up.

When you subscribe to our mailing list, we use a double opt in method to ensure it is you signing up. Soon after you register, you will receive an email that requires a response before your subscription is active. If you don’t respond to the Email you will not be subscribed.

Once your subscription is confirmed, you can optionally provide us with other preferences and information. Any information you provide us with at this stage helps us understand what content you are interested in receiving from us.

At any time after signing up to our mailing list, you can update your preferences or unsubscribe, by using the links in any email you receive from us.

Images & Media

When uploading images to this website, avoid uploading images with embedded location data (EXIF, GPS) and any other personal information you don’t want to become public. Although we take preventative measures to help stop 3rd parties downloading your images, it is virtually impossible to prevent completely. If you upload other types of files (non image files), you must also ensure that these files do not contain any of your personal data.  We do not take responsibility for any personal data you save in the metadata of any file you upload to our site.

If you are or become a member of the Brighton & Hove Camera Club, and you submit images to the club for any reason, you will also need to agree to our terms and conditions of submission.

Cookies

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Password Policy

When you register/sign up for membership, you must create a username and password. You won’t be able to sign up unless the password you enter is ‘strong’ or stronger, as indicated by the scale next to the password box. This also applies if you change your password at any time.

No one at Brighton and Hove Camera Club has the ability to see or discover your password.

If you lose or forget your password, no one at the club can reset it for you and then advise you of the new password, as this would then be insecure. You have to reset it yourself, which can be done when trying to login or by clicking here.

Contacting us using our contact form

If you contact us by using the contact form available on this site, you are agreeing that we may contact you in response to the content of your email. This may be as a result of any question(s) you ask, or to any other general comment or feedback you send us. By contacting us in this way, we do not subscribe you to our mailing list or send other marketing emails. The content you send us and all our replies to you, using this method, will be deleted within 3 months.

Who we share your data with

We never share or sell any of your personal data, with anyone, including other members or 3rd parties, unless we are legally required to do so.

Links to other websites

Some content on this site contains links to other websites, or to predefined google searches. We are not responsible for the content of any of the sites that we may direct you to. We are also not responsible for any data the other sites collect from you, as result of following a link from our site or from within any of our communication. When you follow a link to another site, none of your data is transferred from this site, to the other site.

How long we retain your data

Membership data

If you are a member, we retain enough information to enable us to maintain accurate records of your membership, such as your first name, last name, email address, the date your membership starts and finishes, and any other data you have voluntarily given us, for the duration of your membership. For under 18s membership we also record your date of birth and for NUS membership we record the expiry date of your NUS membership. We retain this information after your membership has expired. This is to ensure that should you sign up again, you do not have to re-register to start a new membership. If your membership expires and you no longer want us to keep your data, you can request deletion of this, any time after your membership expires.

Financial data we store

We store a minimal amount of financial information needed to ensure we have appropriate records for our accounts purposes and to ensure we have accurate records of your membership. This will include your name, the amount you have paid, general method of payment (e.g. credit card), date you paid, transaction number. When you pay online using our website, your payment details are forwarded to the payment gateway as required by them to take your payment. These details are not recorded or saved by Brighton and Hove Camera Club at any time. The last four digits of your credit or debit card and the expiry date of the card are recorded by us, so that we can inform you of expiry of the card used in relation to any membership subscription, as appropriate. i.e. we record your card number as **** **** **** 1234 and your card expiry date as 10/2020.

What rights you have over your data

You can request at any time that we provide you with details of all the personal data we keep about you.

At any time, after your membership expires, you can request removal of all personal data we have collected from you as part of the membership process, by contacting the membership secretary. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Mailing list data

We use the Mailchimp Marketing Platform for our mailing list. We do not keep your mailing list preferences and details on our own site. All of this data is stored in Mailchimp. No financial data whatsoever is sent to Mailchimp. Mailchimp store your name, email address any preferences and indication that you have an active membership.
